Synchronize the information on client files
When you open or close a client file, Taxprep sends by default the information to the dashboard so that the data is synchronized. The information can be updated in two ways: from the Taxprep program or from CCH iFirm Tracking.
The information updated during synchronization is:
- information about the return such as the date received, return status, EFILE statuses and the return category;
- the group to which the client belongs;
- the information to the effect that the client is a VIP client;
- the following roles assignations: admin staff, manager and customized roles added to the Role Management page; and
- the notes.
To enable an accurate follow up with CCH iFirm Tracking, it is essential that this information is identical in both the Taxprep program and in CCH iFirm Tracking.
Automatically transfer the updated information in the client file from the Taxprep program to CCH iFirm Tracking
Based on the settings defined for a user account, when opening or closing a Taxprep client file, the Client File Info dialog box displays to allow the user to update the information that will be sent to CCH iFirm Tracking for automatic synchronization purposes.
In order for the changes performed for the return status or the EFILE statuses of a return to be immediately reflected in CCH iFirm Tracking, you will need to update these statuses in the Client File Info dialog box rather than in the Properties dialog box (F11).
Meaning of the values in the check boxes of the Client File Info dialog box
Apply return status to all, Apply the settings of the "Assigned to" section to all and Create a card per taxpayer check boxes have a default value determined based on the display defined in the CCH iFirm Tracking configuration (one card per client file or taxpayer). Three situations can occur:
- When a hyphen appears in a check box, the operation will be performed based on the default value defined for the display of cards in the configuration. It is the default value of the check boxes available in the Client File Info dialog box;
- If you do not want the operation to be performed, regardless of the default value defined for the display of cards in the configuration, clear the appropriate check box so that it is empty .
- If you want the operation to be performed, regardless of the default value defined for the display of cards in the configuration, select the appropriate check box so that a check mark appears in it.
To perform this operation, you must allow the Taxprep program to transfer data to CCH iFirm Tracking by opening a CCH iFirm Tracking work session in the box that displays in the Taxprep program.
Disable automatic synchronization for a user account in the Taxprep program
In the case where the tasks of a user do not require a regular update of this information, the display of the Client File Info dialog box can be disabled when opening and closing a client file.
To disable the automatic synchronization for a user account in the Taxprep program, modify the dashboard settings for this user account by disabling the display of the Client File Info dialog box when opening or closing a client file
Synchronize the modified data in CCH iFirm Tracking
If this information is updated in a card from CCH iFirm Tracking and, afterward, the client file linked to this card is not opened , the information will not be updated in the client file.
This situation usually occurs at the start of tax season at the time the workload is planned or at the end of tax season when the income tax returns are completed and the information relating to invoicing or payments is entered in certain cards.
To synchronize modified data between the cards and closed client files so that the most recent data is saved in client files, use the Synchronize Data command available in the CCH iFirm Tracking menu.
