Adding Other Journal Entries and Other Balance Types

You can add up to 3 user defined custom journal entry types and 3 corresponding custom balance types. By doing so, you can post journal entries to a balance and get a new balance for a specific report or calculation. The New Balance Type = a selected existing balancer + New Journal Entry Type.

To add a journal entry type, do the following:

  1. Click the Add Journal Entries drop-down in the right-hand pane.

  2. Select Add Journal Entries. This will take you to the Journal Entries Pane.

  3. Select the plus sign or the gear Configure JE Types to proceed to add the New Journal Entry type.

  4. Select Add New Journal Entry Type then proceed to the Add Journal Entry Configurator.

Notes:

  • Input maximum for Abbreviation (i.e. 50 characters) and invalid characters: ' | : " , ( ) * ?

  • Input maximum value for Name (i.e. 255 characters) and invalid characters: * ?

  1. Click Save.

Important: Abbreviations and names must be unique for the engagement for both New Journal Entry Type and New Balance Type.

  1. Input the fields with the existing data, then click Save.

To add input in different fields for the Add Journal Entries section, do the following:

  1. Type an abbreviation name and a long name in the New Journal Entry Type field.

  2. In the Existing Balance row, select a balance type that the New Journal Entry will be posted to.

  3. In the New Balance Type row, type an abbreviation name and a long name for the New Balance Type.

  4. Click Save. A Success pop-up will appear and the New Journal Entry type will show in the Current Entry types table. To edit the New Journal Entry Type, select the pencil icon, make your changes, then click Save.

To delete a New Journal Entry Type, select X next to the New Journal Entry Type.

Note: To delete the Custom Journal Entry Type, a Custom Balance Type should not be linked to another custom Journal Entry Type and Custom Journal Entry should not be linked to accounts.

To delete a custom Journal Entry Type for a Default case, do the following:

  1. Click X.

  2. Click Yes.

Custom Journal Entry Types can not be deleted when the balance type of one is linked to other Custom Journal Entry types:

To delete the linked Journal Entry type, do the following.

  1. Click the X icon

  2. Click the Yes button

  3. Click OK.

Note: New columns in the Trial Balance for the new Journal Entry Type and Balance Type will show up right justified in the trial balance.

To add a custom Journal Entry Type with accounts, do the following:

  1. Click Add Journal Entries.

  2. Select Custom Journal Entries Type.

  3. Select Account and input the balance into the section.

  4. Add a comment into the Journal Entry Comment field.

  5. Click Save.

  6. Refresh the TB Page.

To delete a custom Journal Entry Type when it is linked with accounts, do the following:

  1. Navigate to the Current Journal Entry Types page.

  2. Click the X icon.

  1. Click Yes.

  2. Click OK.

Show OJE/OBAL’s on TB Report

CJE/CBAL’s columns appear in TB reports either when columns are selected while creating them or after they are created under the Format Column in the Select columns to show drop down list for the current year only. By default, Custom Journal Entries columns are not selected. After selecting a column and saving it from the Format Columns section, the column will appear in the TB Report Grid.

After adding custom Journal Entries with an account, they should be visible under the JE REF# column under TB Report (Summary by group, subgroup, and accounts with Journal Entries details).

  1. Click Add Journal Entries.

  2. Select Custom Journal Entries Type.

  3. Select Account and input the balance into the section.

  4. Add a comment into the Journal Entry Comment field.

  5. Click Save.

  6. Refresh the TB Page.

  7. Create a TB Report with Summary by group, subgroup, and accounts selecting Journal Entries details.

  8. Navigate to the TB Report.

The Journal Entry will appear in the grid with the abbreviation, name, and year.

Note: Custom OJE and OBAL rows cannot be edited, but they can be deleted or reoredered.

The journal entry will show in the Variance properties drop-down list with its full name.

When the Custom Journal Entry column is edited, its values are also updated inside the TB

report.

To edit the Custom Journal Entry column, do the following:

  1. Navigate to the Current Journal Entry Types page.

  2. Click the pencil icon.

  3. Update the fields and click Save.

  4. Navigate to the TB Report.

When Custom Journal Entry types are deleted, the columns will disappear from the TB Report

grid.

To delete Custom Journal Entry types, do the following:

  1. Navigate to the Current Journal Entry Types page.

  2. Click X.

  3. Click Yes.

  4. Navigate to the TB Report.
