Editing Workpapers Using Workpaper Monitor

If you have installed Workpaper Monitor, you can use the procedure below to open, edit, and upload changes for Microsoft® Excel®, Microsoft® Word, and PDF workpapers from within CCH iFirm Engagement. Adobe Acrobat 32-bit and 64-bit are supported.

Other users can open and view the file while it is in use, but cannot make changes.

Notes:

  • When editing a PDF using Adobe Acrobat® Reader, you will need to save the file in the local Workpaper Monitor folder “C:\Users\[name]\AppData\Local\WK\CCH Axcess\Engagement\Workpaper Monitor\p1\Files" in order for your updates to be stored within the engagement.

  • Digital signatures and password enabled PDFs are not supported at this time.

Tips: We recommend the following best practices for using Workpaper Monitor:

  • Only save a workpaper if you've made changes. This practice can prevent a workpaper from being mistakenly uploaded as a new version, when no changes have actually been made. This practice is especially important for files that have already received reviewer sign-off. Excel® workpapers in particular have built-in functionality that causes saved files to be uploaded as a new version, regardless of whether edits were made.

  • To close a workpaper without making edits, or to discard the changes you have already made, click in the Actions column and select Release Active User on the Engagement View page. You can also click the X that displays in the Release Active User column in the Workpaper Monitor application.

Important: If you are the active user for a workpaper, you must close the workpaper before you can log out of CCH iFirm Engagement.

To edit workpapers with Workpaper Monitor, do the following:

  1. Click the engagement on the Engagement List page.

    Note: See Using the Engagement List Page for information about using the pagination and search features to find an engagement in the list.

  1. Locate the Excel ® , Word, or PDF workpaper you want to use in the Engagement View page, and then click its name or index. A notification in the system tray alerts you when the Workpaper Monitor application is opening the workpaper.

Notes
If you have not installed Workpaper Monitor, clicking the workpaper index or name begins the installation process for the application instead of opening the workpaper. In that case, see Installing, Updating, and Uninstalling Workpaper Monitor to continue.

If your browser displays a message indicating that the browser is attempting to open an application, select the option to stop displaying the message, and then click Open Engagement Workpaper Monitor.

  1. Make changes in the workpaper as needed.
  2. Do one of the following:
    • If you did not make any changes, or if you want to discard the changes you did make, close the file without saving, or click in the Actions column and select Release Active User on the Engagement View page.
    • If you edited the file, save your edits in its native application, and then close the file.
  1. When using Adobe Acrobat Reader:

    1. From the menu within Adobe Reader select Edit > Preferences > General and uncheck the Show online storage when saving files box. (Note: This only needs to be done once.)

    2. Click Save or close the PDF workpaper.

    3. The Save As dialog will open and the default folder and name will be displayed.
      Important: Do not change this folder or file name.
      Click Save. The default folder location is C:\Users\[name]\AppData\Local\WK\CCH Axcess\Engagement\Workpaper Monitor\p1\Files.

    4. Note: You must select the same file name as the workpaper you are editing.

    5. Select Yes to replace the file.

    6. Close the PDF workpaper. The changes will be saved to your engagement and the local copy of the PDF workpaper will be deleted.
