Working with Notes
In an engagement you can add notes for any workpaper, leadsheet, or report using the Engagement View page. In a Knowledge Coach engagement, you can add notes for any Knowledge Coach form. Each workpaper, leadsheet, report, or Knowledge Coach form can have up to 100 notes, and each note can have up 100 replies. The icon displays in the Notes column if notes are present for an item. Notes and replies automatically include the user name of the person who created them, as well as a time and date stamp.
If needed, you can select to include a note thread when you roll forward the engagement. Note threads that are selected for roll forward display in the upper right corner of the note in the Note pane.
When you add, edit, or delete notes, the changes are immediately available to other users. They do not need to refresh the page to view your changes.

Add a new note.

Click the engagement on the Engagement List page.

- Locate the workpaper on the Engagement View page.
Tip: You might need to expand the node or folder that holds the item you need.
- Click in the Actions column for the item, and then select Notes.
- Enter your note in the Add new note text box.
- Click to save the note.
Tip: Once you have saved the note, you can make the note text box larger by clicking and dragging the lower right corner of the box.
- Click at the top right of the pane to close it.
Reply to a note.

- Locate the workpaper on the Engagement View page.
Tip: You might need to expand the node or folder that holds the item you need.
- Do either of the following to open the Notes pane:
- Click in the Notes column for the item.
- Click in the Actions column for the item, and then select Notes.
- Enter your reply in the Add new reply text box that is immediately below the note you are replying to.
- Click next to your reply.
- Click at the top right of the pane to close it.
View or edit a note or reply.
All staff members with access to the engagement can view notes and replies on an item. Only the author of a note or reply can edit that note or reply.

- Locate the workpaper on the Engagement View page.
Tip: You might need to expand the node or folder that holds the item you need.
- Do either of the following to open the Notes pane:
- Click in the Notes column for the item.
- Click in the Actions column for the item, and then select Notes.
- To edit the text of a note or reply that you created:
- Click into the note text.
- Make the needed changes.
Tip: You can make the text box larger by clicking and dragging the lower right corner of the box.
Click immediately beneath the edited note or reply to save it. Click the X button immediately beneath the note if you do not want to save your edits.
- Click at the top right of the pane to close it.
Clear a note thread.
When you clear a note thread, all the notes and replies in that thread will be struck through in the Notes pane. The notes and replies will no longer be editable. Cleared note threads will not be rolled forward.

- Click in the Notes column for the item.
- Click in the Actions column for the item, and then select Notes.
- Click in the upper right corner of the note.
- Click Clear thread.
- Click at the top right of the pane to close it.
Reopen a note thread.
You can reopen a note thread to make the notes and replies active and editable again.

- Locate the workpaper on the Engagement View page.

- Do either of the following to open the Notes pane:
- Click in the Notes column for the item.
- Click in the Actions column for the item, and then select Notes.
- Click in the upper right corner of the note.
- Click Reopen thread.
- Click at the top right of the pane to close it.
Delete notes and replies.
Deleting a note also deletes all the replies in the note thread. You can also select to delete just a reply, leaving its parent note in the item. Once a note or reply has been deleted, it cannot be restored.
All staff members with access to the engagement can delete notes and replies for an item. No special permissions are required.

- Do either of the following to open the Notes pane:
- Click in the Notes column for the item.
- Click in the Actions column for the item, and then select Notes.
- Do one of the following:
- To delete an entire note thread, including all replies, click , and then click Delete thread.
- To delete a single reply, but leave the rest of the note thread, click next to the reply you want to delete.
- Click Confirm.
- Click at the top right of the pane to close it.
Set a note thread to roll forward.
A note thread will not roll forward if the corresponding item is not included in the roll forward. During the roll forward process, you will be warned if an item is not set to roll forward and has a note thread set to roll forward.

- Click in the Notes column for the item.
- Click in the Actions column for the item, and then select Notes.
- Click in the upper right corner of the note.
- Click Roll forward thread. The icon is added in the upper right corner of the note thread.
- Click at the top right of the pane to close it.
Cancel the roll forward option for a note thread.
Use the procedure below to prevent a note thread that was previously set to roll forward from being included when the item is included in roll forward.
