Set up daily e-mail alerts

Settings - Jobs & Billing

A daily task is scheduled to run in Jobs & Billing just after midnight, to perform various checks and updates in your system, which triggers a number of e-mail alerts regarding recurring jobs, client reminders, resourcing, daily milestones, and daily target end dates.

Set up daily e-mail alerts

You must specify the recipient(s) of the daily task e-mail notifications and when you want to receive the Daily Milestone and Target End Date alerts.

  1. Click Settings > Jobs & Billing.
  2. Click General Settings.
  3. Click the Automated e-mails tab.
  4. Type the e-mail address from which e-mails will be sent.
  • You can enter any address that will help you identify the e-mail as a daily task e-mail. You can only have one e-mail address in this field. It is used as the "reply to" address.
  1. Type the e-mail address to which you want the e-mails to be sent.
  • You can enter more than one e-mail address, provided they are separated with commas.
  1. Edit the Daily Target End Date Alerts:
  • Type the required numbers in the fields to specify when you want to receive daily target end-date alerts for annual and other jobs that are overdue or due soon.
  1. Edit the Daily Milestone Alerts:
  • Type the percentage of the budget completed in the fields to specify when you want to receive daily milestone alerts for annual and other jobs.
  1. Click Save.
Note:
Add the cchifirm.ca domain to your e-mail Safe Senders List to make sure that CCH iFirm communications are not moved to your spam or junk mail folder.​

E-mail information

The e-mail addresses specified in the settings will receive some or all of these daily alerts as a result of the nightly daily task run, depending on what was performed in the system:

Jobs and reminders

The following information is included in the daily task e-mail that informs you of what was created in the system according to automation features that you have enabled in your system:

  • The number of recurring jobs that were created, according to the settings per client and per job type.
  • The number of client reminder e-mails that were sent or missed. Missed e-mails could occur as a result of incorrect e-mail addresses in the system or reminder date set in the past.

Client reminders sent/missed

Use the link to the note ID within the e-mail for quick and easy access to the client reminder.

Resourcing changes

Any resourcing changes that you make on a given day will trigger an e-mail alert during the daily task run. Click the job ID within the e-mail for quick and easy access to the corresponding job in Jobs & Billing.

Job milestones reached

During the nightly scheduled task, all jobs are evaluated according to their budgets and total WIP generated. If the budget percentage for a job has reached one of the specified thresholds in the settings, then it is included in this e-mail alert. Click the job ID within the e-mail for quick and easy access to the corresponding job in Jobs & Billing. Any number of jobs could be listed in this one e-mail.

Job status reminder - due soon

During the nightly scheduled task, all jobs are evaluated according to their target end dates, and the number of days until that day is reached. If the number of days has reached the specified value in the settings, then it is included in this e-mail alert. Click the job ID within the e-mail for quick and easy access to the corresponding job in Jobs & Billing. Any number of jobs could be listed in this one e-mail.

Job status reminder - overdue

During the nightly scheduled task, all jobs are evaluated according to their target end dates, and identifies jobs that are overdue. If the number of days overdue has reached the specified value in the settings, then it is included in this e-mail alert. Click the job ID within the e-mail for quick and easy access to the corresponding job in Jobs & Billing. Any number of jobs could be listed in this one e-mail.
