Learn about the Contacts security roles

When you first set up your CCH iFirm user accounts we recommend that you assign the Contacts - View Only security role to all users, so that they can access the Contacts module and view your contact records. There are additional Contacts security roles that you can assign, depending on what you need each of your users to do in the system.

The following information outlines what each of the Contacts security roles allows a user to do in the system, in order of limited to full access, where applicable.

1. Contacts - View Only

This is a limited role. With this role, users can access the Contacts area via the left menu to view contact records, including those identified as clients, prospects, leads and suppliers. Users can also view the following Contacts reports: Contact Details, Telephone Number List, Client Notes, Name/Address/Phone List, Client Type Count and Upcoming Birthdays.

2. Contacts - View, Add and Edit Contacts

This role is the same as the first role, except that it also allows users to add, edit and delete contact records, as well as view contact groups. Users can also view these additional Contacts reports: Contact Details, Client Type Count.

Note that some CCH iFirm functions, such as creating a return and adding a spouse or dependant, may require the creation of a new contact if they do not yet exist in CCH iFirm Contacts. Therefore, this role is also required.

3.Contacts - Edit Contacts in Bulk

This role can only be used in conjunction with either of the first two Contacts security roles. It enables the Change in Bulk button, which allows users to edit certain Contacts fields in bulk.

4. Contacts - Archive and Delete Contacts

This role can only be used in conjunction with either of the first two Contacts security roles. If users also have the Contacts - View Only security role, they will be able to archive and restore contact records, but not delete them. If users also have the Contacts - View, Add and Edit Contacts security role, they will be able to archive, restore and delete contact records.

5. Contacts - Edit Client Notes

With this role, a user can edit client notes created by other users .However, this security role is not required to delete client notes which have been added by other users.

6. Contacts - View Current Position

With this role, a user can view the Current Position panel in the Summary tab of the Contact Details page. This panels shows information concerning the WIPs and the accounts receivable. This security role must be assigned to users who are authorized to consult this information.
