Learn about allocating resources
If you want a particular staff member to work on a specific type of job for a particular contact, you can specify these details in each client's Contacts record. Alternatively, you can set this up in bulk in the Resource Allocations area.
You can define which resource is automatically assigned to a specific job type for a client and how much time they are automatically allocated. For example, you can ensure that when AA jobs are created for ABC Pharmacy, Amy is automatically allocated 3 hours, whereas Leroy gets 1 hour for all ABC Pharmacy's wages jobs.
As you use Jobs & Billing, your estimations of the amount of time required per job will grow more accurate.
To begin with, we recommend that you add automatic resource allocations for each client individually or in bulk for:
- Any regularly occurring jobs that usually take the same amount of time, for example wages, monthly reporting, and so on.
- Situations where the same staff member usually works on the same kinds of jobs for a particular client.
You need to add automatic resource allocations before you add any jobs.
Once you have set up automatic resource allocations, you can use the resource allocation reports to manage the workload for staff members.
Alternatively, you can manually add resources at the time of creating an individual job or later when you edit a job.
You can edit or delete automatic resource allocations and manual resource allocations, if required.
